This notice describes the planned booking website for Maru Arguelles Photography. Contact: work.maruarguelles@gmail.com. This draft must be reviewed against the final live setup before online inquiries open.
What we collect
We collect the name, email, phone number, shoot schedule, location, project details, reference links, shot lists, and optional company billing information you provide. If you proceed with a booking, we also store the quotation, agreement acceptance and version, payment reference, proof of payment, verification status, and booking communications. Avoid sending identity documents or unrelated financial information. Redact unrelated balances and transactions from payment proof.
Why we use it
Your details are used to respond to your request, prepare a quote, arrange the shoot, verify payment, provide the agreed services, issue billing documents, and send relevant booking or delivery reminders. Processing is based on taking steps at your request before a contract, performing that contract, applicable legal obligations, and legitimate interests such as protecting the booking system. We do not use booking details for unrelated marketing without a separate basis or permission.
Who processes it
Authorized personnel may access information needed for your booking. Assistants, editors, suppliers, or an emergency replacement photographer may receive only the project information needed to deliver their assigned services. Supplier names, professional fees, and project expense records are used to administer and account for the work. The planned website uses Cloudflare for hosting, database storage, security checks, and private payment-proof storage; Resend for transactional email when connected; and Google Drive for photo delivery. These providers may process data outside the Philippines under their applicable safeguards and terms. Payment providers process transfers independently under their own notices. Personal calendar labels and payment proofs are not shown on the public calendar.
Storage and retention
Data is retained only as needed to handle inquiries, deliver services, manage follow-up, meet applicable accounting or legal obligations, or resolve claims. Closed bookings may be archived, then removed from the online dashboard after at least two years from the shoot date, following export and review. The export includes available payment receipts and project records. Required accounting records remain in a secured separate archive for the applicable legal retention period; removal from the website does not erase those retained copies. Unresolved payments, claims and legal holds may require longer retention. Google Drive’s one-month client download window is separate from record-retention requirements. Backups and legally required records may follow different schedules.
Security and website operation
Payment proofs are kept in private storage and accessible only through authenticated administrative requests. Private booking links grant access to your booking, so do not share them publicly. The website uses essential security features and anti-spam checks. This build does not include advertising trackers or marketing analytics. Third-party services may process technical information needed to operate and protect their services.
Your rights
Subject to applicable law, you may request information about processing, access or correction of your data, object to processing, and request erasure, blocking, or portability where applicable. Where processing relies on consent, you may withdraw it, without affecting earlier lawful processing. Contact the email above to exercise your rights; reasonable verification may be needed. You may also lodge a complaint with the Philippine National Privacy Commission.
Photography and portfolio use
Photo delivery and usage rights are defined in the project agreement. Portfolio or promotional use is addressed separately and is not authorized merely by submitting an inquiry.
Updates
This notice will be updated when the website’s processing practices change. Material changes should be communicated where required.
Optional project briefs
You may upload a PDF or Word document with project details. It is stored privately with your booking and is accessible to you through your private booking link and to our authorized administrator. Please avoid including unnecessary sensitive information.
Spam and abuse prevention
The booking service uses Cloudflare Turnstile and limited request counters to reduce automated submissions and abuse. Counter keys use hashed IP addresses or email addresses and expire automatically. Booking details are checked for duplicate and unresolved requests. Payment proof and booking details remain private administrative records.
Optional publication permission
After gallery delivery, you may choose no publication, website portfolio only, social media only, both, custom permissions, or “Portfolio, social media & paid ads for Maru Arguelles Photography” on your private gallery page. No answer is preselected. We wait for your explicit permission before publishing. The paid-ads option authorizes selected photographs in our website portfolio, organic social posts, boosted posts and digital advertising promoting Maru Arguelles Photography. Other standard choices do not authorize paid advertising. Any release date, image exclusions, channel restrictions and separately agreed confidentiality or exclusive-rights arrangements continue to apply. Permission is optional and does not affect payment or delivery. It applies only to photographs and people you are authorized to approve; permission from other identifiable people, parents or legal guardians, or relevant rights holders may also be needed. Permission continues until withdrawn, subject to your restrictions. You may change or withdraw it through your private page or by emailing work.maruarguelles@gmail.com. We will stop future use and remove affected posts or ads from channels we control; third-party reposts may remain outside our control. Sale or licensing to unrelated businesses requires a separate agreement. Permissions given under earlier wording retain their original scope and do not gain paid-advertising rights unless you explicitly approve the new option.
